Privacy Policy

SmartWarrantyApp ("we", "us", "the app") is an intelligent warranty management assistant that helps you save, organize, and monitor product warranties, with AI-powered summaries, insights, expiration reminders, and claim-draft assistance. This policy describes what information we collect, how we use it, and the choices you have.

1. Information we collect

  • Account information: your email address (used as your account identifier) and password (stored only as a hashed credential by our authentication provider). Optional profile details you add.
  • Warranty information: product name, store, purchase date, warranty length, expiration date, provider, category, warranty terms, and notes you enter or import.
  • Receipts and documents: photos and files you upload (receipts, warranty cards, labels, PDF/text documents), plus text extracted from them by OCR/AI.
  • Claim information: the claim explanation you write and AI-generated claim drafts.
  • Reminders: expiration-reminder schedules you configure.
  • AI-generated content: quick/full summaries, warranty insights, and claim drafts produced from your warranty data.
  • Token usage: your token balance and token-transaction history (credits, debits, refunds).
  • Subscription & purchase information: the product purchased, amount, currency, date, and status, retained for accounting, tax, fraud-prevention, chargeback, and legal obligations.
  • Preferences: notification and sync settings.

2. How we use information

  • To provide the warranty management, AI, reminder, and claim-draft features.
  • To authenticate you and keep your data isolated to your account.
  • To send expiration reminders you have enabled.
  • To process purchases and manage subscriptions.
  • To maintain records as required for accounting and legal compliance.
  • To improve reliability and fix issues (using aggregated, de-identified analytics where possible).

3. Data isolation & access

Your warranty data is isolated to your account. Other users cannot read, edit, or delete your warranties, attachments, reminders, claims, AI results, token transactions, or private profile data. Administrator accounts can access data only for support, abuse prevention, or legal compliance. Uploaded files are not exposed through public, predictable URLs.

4. AI processing

To produce summaries, insights, and claim drafts, your warranty text and uploaded images/documents are sent to AI processing services. All AI analysis is informational assistance only and does not guarantee any outcome; the manufacturer or warranty provider makes the final decision on any claim. AI output that contains links is sanitized to allow only http/https navigation before it is rendered as a clickable link.

5. Payment processing

On the web, purchases are processed by Base44 Payments, powered by Wix. Payment-card numbers and sensitive payment credentials are entered on the payment provider's hosted checkout and are handled by the provider — SmartWarrantyApp does not receive or store full card numbers. We retain a record of the product, amount, date, and status of your purchases.

6. Infrastructure & third parties

SmartWarrantyApp runs on the Base44 platform, which provides hosting, authentication, database storage, file storage, and AI integration services. Wix provides payment processing for web purchases. These providers process data on our behalf as sub-processors and under their respective privacy and security practices. We do not sell your personal information.

7. Email & reminders

We send expiration-reminder emails when you enable them. Transactional emails (account verification, password reset, support replies) are sent as needed to operate the service.

8. Security

We use reasonable technical and organizational measures to protect your data, including authenticated access, owner-scoped row-level security, and server-side enforcement of paid features and token accounting. No method of transmission or storage is completely secure; we do not make absolute security guarantees that cannot be technically verified.

9. Data retention

We retain your data for as long as your account is active. When you delete your account, your application data is deleted and your subscription is canceled. Payment records may be retained for accounting, tax, fraud-prevention, chargeback, and legal obligations, with personal association removed where appropriate.

10. File-deletion limitation

When you delete a warranty or your account, SmartWarrantyApp deletes the database references to your uploaded files. Our current platform does not expose a supported API to physically delete the stored file objects, so the underlying objects may remain in secure storage with no link back to you. We will apply a supported deletion capability when one becomes available.

11. Account deletion

You can delete your account at any time from Settings → Data Management → Delete Account. See our public Account & Data Deletion page for details, including what is deleted, what is retained, and how to request deletion if you cannot sign in.

12. Your rights

  • Access, correct, or export your warranty data.
  • Disable notifications or delete individual warranties.
  • Cancel your subscription at any time.
  • Permanently delete your account and associated data.

13. Contact & policy changes

For privacy questions or requests, contact support from the app under Settings → Legal & Support, or via the support contact listed at the bottom of this page. We may update this policy from time to time; material changes are reflected by a new effective date above.
